Job Overview: As an Executive Assistant you will be the first point of contact for our members and visitors, setting the tone for the entire coworking experience. You will also provide high-level administrative support to our executive team, ensuring smooth operations and a welcoming environment.
Key Responsibilities:
Must have permission to work in Albania.
Reception Duties:
Greet members and visitors with a friendly and professional demeanor.
Onboard new members and provide overview of coworking space services and features.
Answer and direct phone calls and emails, addressing inquiries promptly.
Issue membership cards and manage reservations for future members.
Maintain the cleanliness and organization of the entire coworking space.
Restock office supplies and run errands for the office, as needed.
Coordinate and assist with events and workshops at the coworking space to enhance member engagement.
Executive Support:
Provide administrative support to the executive team, including scheduling meetings and managing calendars.
Assist with the preparation of reports, presentations, and correspondence.
Take transcriptions and keep notes.
Maintain LinkedIn presence and connections.
Work on individualized projects and tasks as needed.
The ideal candidate will have the following qualifications:
Excellent organizational skills with significant attention to detail, good time management, and the ability to set and meet firm goals and deadlines.
A friendly and professional focus on providing good customer service.
Strong communication skills, both written and verbal. English language is required, second languages of interest are Albanian and Greek.
Basic proficiency with GoogleDrive and/or Microsoft Office Suite (Word, Excel, PowerPoint).
Familiarity with standard office equipment (computers, printers).
Ability to handle sensitive information with integrity and confidentiality.
2-3 years experience working in an office environment.
Work hours:
8.30am to 5pm, Monday through Friday.
